by accessing or using the platform, you acknowledge that you have read, understood, and agree to be bound by this policy. if you do not agree to these terms, you must not access or use the platform.

introduction

Welcome to kloob ("kloob," "we," "us"), operated by Kloob, Inc.. This Privacy Policy governs your access to and use of the kloob platform and related services ("Services"). By using kloob, you agree to these terms. If you do not agree, please do not use our Services.

kloob is a task delegation and communication platform designed for lead organizers — the "queen bee" — who coordinate teams around projects, events, and goals. The platform enables organizers to convert meeting notes into tasks via AI, delegate those tasks to team members via SMS, and manage accountability without requiring team members to download an app.

information we collect

We collect personal information you provide when creating an account, using kloob, or opting in to receive communications. This information may include:

Account information: name, phone number, and authentication data
Contact data: phone numbers of team members you add to your hive
Notes and tasks: meeting notes, brain dumps, AI-generated tasks, and task history
Communication data: SMS interactions between kloob and your team members
Usage data: how you interact with the platform, features used, and session data
Device data: device type, operating system, app version, and interaction logs
Preferences: notification settings, workspace configurations, and other app preferences

We collect this information to provide, personalize, and improve our services, and to communicate with you about your account and activities on kloob.

how we use your information

We use the personal information we collect to provide a seamless, personalized, and secure experience across kloob. Specifically, we may use your information to:

Create and manage your account, including authentication and profile customization
Enable task creation, delegation, and communication including AI-powered task extraction from notes
Send SMS notifications to team members you add by phone number, including task assignments and reminders
Track task-related data such as deadlines, assignments, completion status, and delegation history
Analyze usage trends and app performance to improve features and user experience
Identify and resolve technical issues, including app crashes and bugs
Ensure safety, compliance, and enforcement of our Terms of Service

We send the following email and SMS communications:

Transactional: account updates, task assignments, OTP codes, and critical notices
Reminders: deadline approaching and overdue task notifications sent to delegated team members
Sting notifications: direct SMS nudges sent on behalf of the lead organizer to team members
Optional: product updates and early access communications (only if you opt in)

We do not use your data for automated decision-making or profiling that has legal or similarly significant effects without your explicit consent.

AI processing of your notes

When you use the AI task extraction feature, the content of your meeting notes is processed by our AI infrastructure to identify action items and assignees. This processing happens to provide the service. We do not use your note content to train general AI models or share it with third parties for AI training purposes.

SMS and phone number data

kloob's core functionality involves sending SMS messages to team members that workspace organizers invite by phone number. When an organizer adds a phone number, kloob sends that person a single opt-in text; kloob sends no task assignments, reminders, or other messages to that number unless the person replies YES to confirm their own consent. Organizers should only add people who are expecting to hear from them.

Invited team members first receive one opt-in SMS and must reply YES before any further messages are sent
After opting in, team members receive SMS notifications when assigned a task
After opting in, team members receive reminder SMS messages as task deadlines approach
Lead organizers may send Sting notifications — direct SMS nudges — to team members who have opted in

Team members can reply STOP to any SMS to opt out of further messages. Standard message and data rates may apply depending on the recipient's carrier.

Phone numbers added to kloob are used solely to send task-related communications. We do not sell phone numbers or use them for marketing without explicit consent.

Google user data

kloob offers optional integrations with Google Drive and Google Calendar. These integrations are off by default. kloob requests access only when you choose to connect them, and you can disconnect at any time from within the app or by revoking kloob's access at myaccount.google.com/permissions.

what we request and why

kloob requests the narrowest Google scopes that support each feature:

Sign-in (openid, userinfo.email, userinfo.profile) — to create and identify your kloob account when you choose "continue with Google". We store your email address, name, and profile image URL.
Google Drive (drive.file) — to import existing meeting notes into kloob. This scope grants access only to the specific files and folders you select through Google's own file picker. kloob cannot list, search, or read any other file in your Drive. File content is read once at import and converted into a kloob note; the original Drive file is not modified.
Google Calendar (calendar.events) — to read the meetings already on your calendar so that task deadlines can be scheduled around your existing commitments, and to write task deadlines back so they appear alongside your real schedule.
Google Calendar (calendar.app.created) — to create and manage a single dedicated "kloob" calendar that holds task deadlines, so kloob-generated events stay separable from your own and can be removed in one action. This scope grants no visibility into any other calendar.

what we store

We store the minimum needed to keep the integration working, not a copy of your Google account. From Drive, we store the text content of files you explicitly import, as kloob notes you own, plus the file ID and name for reference. From Calendar, we store only the event ID, start time, end time, and title of events within a bounded window around today, in order to reconcile deadlines — we do not request or store event descriptions, attendees, attachments, or conference details. We do not maintain a background copy of your Drive or your calendar.

AI processing

When you ask kloob to generate tasks from a note, the text of that note is sent to our AI provider (Anthropic) to extract task items. If the note originated from a Drive file you imported, that text is included. Our AI provider processes this text solely to return the extracted tasks and does not use it to train or improve any model. kloob does not use Google user data to develop, improve, or train generalized AI or machine learning models.

retention and deletion

Disconnecting a Google integration deletes the stored access credentials and the cached calendar event records for that connection. Notes you imported from Drive remain in kloob as your own content until you delete them. Deleting your kloob account at kloob.app/delete-account removes all Google-derived data on the schedule described in the data retention section below.

limited use

kloob's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell Google user data, do not use it for advertising, and do not transfer it to third parties except as necessary to provide the features described above, to comply with applicable law, or as part of a merger or acquisition after obtaining your explicit consent.

data sharing

At kloob, we respect your data and aim to be transparent about how it may be used.

We do not sell your personal information, and we do not share your personal information with third parties or affiliates for their own marketing or promotional purposes.

Mobile information — including your phone number and any SMS opt-in or consent data — is never shared with third parties or affiliates for marketing or promotional purposes, and is never sold. Text messaging originator opt-in data and consent are not shared with any third parties under any circumstances.

The only information we may share is in limited, de-identified or aggregated form, with service providers who help us operate and improve kloob — never your phone number, SMS content, or consent data:

Aggregated event analytics (e.g., average task completion rates, most used features)
Anonymized usage trends and engagement metrics
Device and technical data (e.g., app version, operating system, interaction logs)

your right to opt out

Residents of California, Virginia, Colorado, Connecticut, Utah, and other states with applicable data privacy laws have the right to opt out of the sale of their personal information. Contact us at support@kloob.app to exercise this right.

data security

kloob implements industry-standard security measures to keep your data safe from unauthorized access, loss, or misuse. Our practices include:

TLS encryption for all communication between your device and our servers
Encryption at rest for all sensitive data, using industry-standard security practices
Secure cloud storage through trusted third-party providers with strict access controls
Routine security audits and code reviews to identify and address vulnerabilities
Role-based access controls to limit internal access to your data only to authorized personnel

While no system can guarantee complete security, we are committed to continuously improving our safeguards and responding promptly to any potential threats.

your data rights

At kloob, we believe you should have control over your personal information. Depending on your location, you may have specific legal rights, including:

Access — request a copy of the personal data we have about you
Correction — request that we correct any inaccurate or outdated information
Deletion — request deletion of your account and all associated data. You may do this at any time via kloob.app/delete-account
Portability — where applicable, request a portable copy of your data
Withdraw consent — revoke previously given consent where applicable

We will respond to all requests in accordance with applicable laws and within a reasonable time. To exercise any of these rights, contact us at support@kloob.app.

data retention

We retain your personal data for as long as your account is active and as necessary to provide our services.

If you choose to delete your account, we will securely delete your data from our active systems within 30 days and from all backups within 90 days.

Some information may be retained longer if required by law or for legitimate business purposes, such as compliance with legal obligations, resolving disputes, or preventing fraud or abuse. After this period, your data will be permanently deleted or anonymized.

children's privacy

kloob is not intended for users under the age of 13. We do not knowingly collect personal information from children under 13. If we discover that we have inadvertently collected such information, we will delete it promptly.

Users between 13 and 18 should use kloob only with parental or guardian consent. If you are a school or educational institution using kloob, please contact us at support@kloob.app to discuss appropriate data handling arrangements.

changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our services, legal requirements, or business practices. When we make significant updates, we will notify you by posting the updated Privacy Policy within the app and sending an email notification to your registered account.

We encourage you to review this policy periodically to stay informed about how we protect your information. Your continued use of kloob after such changes constitutes your acceptance of the updated Privacy Policy.
